How is email handled for APF sites?

Email for A Photo Folio websites is handled by Google Apps. With this approach, you receive GMail’s industry-leading reliability, webmail, and spam protection while still having email accounts @yourdomain.com. Google Apps and GMail includes:

  • Up to 50 email accounts
  • Over 7GB of storage per account
  • Email lists and aliases
  • POP and IMAP access
  • Web access similar to GMail
  • Industry-leading spam filtering

When your new site is set up, we’ll create your Google Apps account and appropriate DNS records. You’ll receive access information as part of your welcome email.

How do I create new email accounts and aliases?

To create new email accounts, sign-in to your Google Apps account and click Create new users. Choose a First name, Last name, and Username. You can optionally set a password or use the temporary password.

In Google Apps, email aliases are known as nicknames. To create an email alias/nickname, first view your existing user accounts. Select the desired user and click Add a nickname. Choose a nickname and click Save changes.

How do I set up my email client (mac mail, thunderbird, eudora)?

To set up an email client for any account, first access your account in a web browser. Select Settings and then click on the Forwarding and POP/IMAP tab. Enable POP or IMAP access for the account and click Save changes.

Click on Configuration instructions and select the instructions for your email client.

How do I access webmail?

To access webmail for any account,
visit http://mail.google.com/a/yourdomain.com/

How do I transfer email from another account

Sign into your google apps account and go to inbox (link in upper right). Then go to settings (link in upper right), then accounts, then Get mail from other accounts.

Is there a limit to the number of emails I can send?

Google has a number of sending limits in place to prevent abuse of our system, and to help fight spam. If one of your mail accounts reaches an abuse limit, the account will be temporarily unable to send mail.

Each Standard Edition account can currently send to 500 external recipients per day. Premier and Education Edition users can send to 2000 external recipients per day. The email addresses can be distributed among the To:, Cc:, and Bcc: fields. Administrators can contact all user accounts within the domain by adding everyone in the domain to an email list.

Here are a few additional tips:

* Create multiple user accounts to send mail. For example, ‘Admin1’ and ‘Admin2’ can each send 500 messages to reach 1000 unique recipients. (On the Premier or Education Edition, two accounts can reach 4000 recipients.)
* Stagger mass communications over the course of two days. For example, send messages to the allotted number of recipients on day one, wait for 24 hours, and send messages to another group of recipients on day two.
* In all editions of Google Apps, an individual message can be sent to a maximum of 500 external recipients at one time.

Can I have a general email for my account go to more than one person?

How Do I Receive The Same Emails On Multiple Devices When Using POP?

If you’re like most people these days you get your email on a phone, at a home computer and at the office/studio. If you’re using POP to retrieve your mail there’s a problem because once you download the new emails to your phone you can no longer get them on the desktop. Here are two solutions:

1. Switch to IMAP. This protocol allows all the devices to communicate with each other. Go here to see how:

Just remember your username is john@johndoe.com not john@gmail.com since you use Google Apps.

2. Use this POP workaround:
To trick your POP client into downloading Gmail emails that are already fetched by other clients, just use the recent mode in Gmail.

Open your Outlook (or other POP client) and add the word “recent:” to your username. That means if your email address is “john@jondoe.com” replace that with “recent:john@johndoe.com”
